Internal Contact Management Tool

1. Purpose

This application is a private tool developed by and for the internal use of Approach Consulting. Its sole purpose is to assist internal staff in cleaning, reviewing, and updating contact data held in JobAdder, and synchronising approved contacts with Mailchimp.

2. Access

Use of this tool is strictly limited to current employees and authorised contractors of Approach Consulting. Access is granted for operational purposes only. User accounts and system access must not be shared, redistributed, or exposed to external parties.

3. Data Handling

All data accessed, reviewed, or modified within this tool — including contact records, emails, phone numbers, custom tags, and internal notes — remains the property of Approach Consulting and is subject to confidentiality obligations.

Users must:
• Only update records they are authorised to manage
• Ensure accuracy when marking data as “Cleaned”
• Report any anomalies or data integrity concerns to the system administrator

4. System Behaviour

This tool:
• Retrieves contact data from JobAdder using secure API access
• Allows field-level updates via a human-in-the-loop interface
• Pushes updates only for records manually marked as “Cleaned”
• Supports optional syncing of approved contacts to Mailchimp with appropriate tagging

The system will never create new contacts or delete existing records. All updates are tied to the JobAdder contactId.

5. Limitations

This is an internal operational tool. It is not a CRM, analytics engine, or marketing automation system. Performance or availability is not guaranteed outside of business hours, and feature updates may occur without notice.

6. Privacy & Security

All data is handled securely in accordance with Approach Consulting’s internal IT and privacy policies. Access logs may be retained for audit purposes. Users must immediately report any suspected breach or unauthorised access.
